Woodlands Site Services Select New Construction Accounting Software

Woodlands Site Services is a specialist subcontractor operating in the construction industry, Woodlands services include electrical, mechanical, security systems, underground utilities, data services & energy solutions. Located in Crayford, Kent, Woodlands work with major UK construction companies such as Sir Robert McAlpine, Costain, Skanska and MACE. Woodlands have previously worked on projects including The Shard and The Gherkin, and are currently working on the new U.S Embassy and Battersea Power Station.

Prior to selecting Eque2, Woodlands used Construction Manager from JNC alongside a number of spreadsheets. The business were not able to produce the level of reporting they required to track budgeted amounts vs actual performance, and there was a growing concern within the business that it will exceed the budgeted figure on a project if they cannot control and see it, which will impact the profitability of their jobs. The company also wanted to be able to track variations on a project and variation trends on projects and sought a better solution for managing hired plant.

After going to market, Woodlands also looked at Easybuild and Redsky, however were won over by the functionality within Construct and by references received by existing users. The company liked Sage and because Construct can remove the issues they were facing, Woodlands did not want to replace their current accounting software. Construct was selected within 8 days of being demoed to the company.

After selecting Construct, Woodlands will be able to enter all their transactions through the system which will take the burden off Sage. It also meant that the company could now upgrade to the latest version of Sage Accounts which was another added benefit with Construct.

Woodlands requirements included being able to control project specific documents in one system, to make time consuming efforts by the team to find critical information easier, such as invoices. Client billing was not incorporated into the incumbent solution, which made it hard for Woodlands to get an accurate view of where they were on a job, for example if they ran a debtor’s report, they couldn’t see what it was broken down by.

The company also wanted easier and more accessible reporting and purchased the Invoice Capture and Quotation module to enable them to 3-way match and log pipeline. Using the new system, they can see what stage of the tender process they are at, when a tender needs to be responded to by, who the main contact is, and what sector it is for, and then move it into a live job when it is won, enabling them to pull up reports on outstanding tenders.
